It is important to us that we always provide you with the best possible service and that your child gains the maximum benefit from attending lessons at Els Aquatics. For us to achieve this it is important that you assist
us by reading through the below:
NO MAKE-UP CLASSES given for going away on holiday or attending parties/play dates. If
your child is sick and has a medical certificate, please hand it in to your child’s instructor. An
effort will be made to arrange a make-up lesson. The swim school is NOT OBLIGED to make up these lessons and the full monthly fee is still
payable.
SICK SWIMMER: Lisa must be informed a minimum of 2 hours before a lesson starts to
arrange catch up class. Make up lessons cannot be arranged when school is not timeously
informed. When school knows in advanced a lesson will be missed, we can utilise that space for
a catch-up lesson.
*** Please ensure a doctor’s note is sent for us to assist with a make-up class.
ADMIN FEE – A compulsory yearly administration fee will be charged at the beginning of
every new year and/or upon joining. Please note that pupils joining from November will be
charged less.
DEPOSIT FEE – A compulsory deposit fee will be added to your first invoice and will be equal
to one full month’s fees. Your deposit will be used to cover your FINAL MONTH OF
SWIMMING fees. Deposit will increase every year to remain equal to the yearly increase in
swimming fees. When changing from 1x a week to 2x a week swimming your deposit adjustment
will be added to your invoice.
NOTICE - SUSPENSION/RESIGNATION – Putting lessons on hold OR Resigning from your
contract requires a full swim school calendar month notice at the beginning of a month.
(Please refer to Swim School Calendar months – NOT normal calendar months apply).
Accounts on hold: Unless these months are paid up, the standing arrangement cannot be held.
2 weeks prior to commencing lessons, time/day slot needs to be re-booked.
Notice can only be given via email to elsaquatics@gmail.com.
No verbal or sms/whatsapp message for notice will be accepted. Also note that when
changing lesson frequency (e.g., changing from 2x to 1x week) a month’s written notice is
also required so that the necessary arrangements can be made.
Notice of resignation after a school holiday period, a months’ notice prior to the holiday is
required
No contractual resignations will be accepted in November OR December to be the notice
period. As our calendar month ends with the school year and full fees are only invoiced for
weeks swum. Invoice will be charged pro rata according to our calendar and will be payable
by date on invoice. Your co – operation in this regard will be appreciated.
MONTHLY FEES: DUE AT THE BEGINNING OF THE MONTH FOR THE MONTH
AHEAD: Fees are payable within 10 days of receiving the invoice via the following methods:
EFT and Cash payments.
EFT – Payment reference: Swimmer’s name and surname
Cash – Please place in a clearly marked sealed envelope.
NO BANK CASH TRANSFERS ACCEPTED. This incurs a bank charge and will be for your
account.
Each family needs an allocated member that may be contacted by the swim school with regards
to any outstanding fees. This member will be held liable for all payments. If there is a change in
responsibility, it will be up to you to notify the swim school. Until such time, signed member will
be responsible of all costs incurred.
Late payments will not be accepted. In cases where a payment is missed, we will then utilise the
deposit paid to cover payments and your time slot will be lost. Double payment will then be due
to cover deposit and the upfront monthly fees.
Lessons all follow directly on each other. Please ensure that you are on time so that your child
benefits from a full lesson every time. We can unfortunately not extend lessons beyond set times
as this would inconvenience other parents. Ensure that your child is dressed appropriately when
the lesson starts.
Please ensure that your child visits the toilet before commencement of the lesson.
BAD WEATHER: Instructors will make a call during bad weather (lightning etc) if the classes
will be cancelled. This is considered an “Act of God” and these lessons will not be considered
eligible for make-up classes
Take Note: This contract will only be cancelled by resignation (see resignation process) The contract is not
renewable on a year-to-year basis, but runs over into the following year, until cancelled.
All invoices are to
be paid by due date until such time as contract is cancelled.
To ensure your complete satisfaction it is important that we have a system of open communication.
